Here’s a quick and effective way to use birthdays to keep your database updated while strengthening your client relationships:
Step 1: Start with Facebook
Open your Facebook feed and head to the birthdays section in the left-hand menu. If you click the drop-down arrow, you’ll see a list of upcoming birthdays. Pro tip: if you check at the beginning of the month, you’ll see all birthdays for that month in one place.
Step 2: Cross-Reference with Your Database
Look for clients, past clients, or close friends on that list. Update your database with any birthdays you may be missing. This helps you build a more complete profile of your sphere.
Step 3: Gather Addresses
If you don’t have someone’s address, take a moment to track it down or ask for it directly. Having this information makes it easy to send personal touches like cards or thank-you notes in the future.
Step 4: Send Birthday Cards
This is where the magic happens. I like to send all of my cards at the beginning of the month using branded designs I create in Canva. A handwritten note can go a long way in making someone feel remembered and appreciated.
Step 5: Organize with Tags
Add a tag in your database, like “January birthday,” so you can filter birthdays by month. This will make it much easier to repeat the process next year without starting from scratch.
